ACE Races Terms of Service

These Terms of Service explain the rules that apply when you use ACE Races, including our website, Shopify store, mobile app, web app, virtual races, digital challenges, physical challenge products, medals, merchandise, subscriptions where offered, emails, customer support, and related services.

Please read these terms carefully before using ACE Races or placing an order. By using our website, store, app, or services, or by placing an order, you agree to these terms.

1. Who we are

ACE Races is a UK business providing virtual races, challenges, digital experiences, physical medals, T-shirts, merchandise, and related products and services.

2. What these terms cover

These terms apply to:

  • the ACE Races website and Shopify store;
  • the ACE Races mobile app and web app;
  • virtual races, digital challenges, route-map challenges, and app-led challenge experiences;
  • physical products such as medals, T-shirts, apparel, and merchandise;
  • digital badges, certificates, progress tracking, and completion journeys;
  • customer accounts, one-time passcode sign-in, participant slots, and app features;
  • activity entry, including manual entries and optional connected services such as Strava or Apple Health; and
  • customer support, emails, notifications, marketing, and related services.

Some products, races, challenges, subscriptions, or campaigns may have extra rules on their product page, challenge page, email, app screen, or checkout. If extra rules apply, they form part of these terms for that product or service.

3. Your agreement with us

When you place an order, your order is an offer to buy the selected product or service. Our acceptance normally takes place when Shopify or ACE Races confirms the order by email or otherwise makes the product, race, challenge, app access, or service available to you.

If we cannot accept an order, we will let you know and will not charge you, or we will refund you if payment has already been taken. This may happen if a product is unavailable, there is an error in pricing or description, we cannot fulfil the order, or we identify a fraud, misuse, safety, or compliance concern.

4. Using ACE Races responsibly

You agree to use ACE Races in a lawful, safe, fair, and respectful way. You must not:

  • use ACE Races for fraud, abuse, harassment, unlawful activity, or misleading conduct;
  • try to interfere with the website, app, checkout, admin systems, security, or other users;
  • submit false, misleading, copied, manipulated, or unsafe activity or completion evidence;
  • attempt to access another person's account, order, challenge, certificate, or personal data;
  • resell, copy, scrape, reverse engineer, or misuse ACE Races content, app features, routes, badges, certificates, brand assets, or software; or
  • use ACE Races in a way that could damage the business, customers, partners, platforms, or services.

We may suspend, restrict, remove, or refuse access to ACE Races where we reasonably believe these terms have been breached or where action is needed to protect users, the business, or the service.

5. Health, fitness, and safety

ACE Races is designed to support friendly, inclusive virtual race and challenge participation. It is not medical, health, fitness, training, or safety advice.

You are responsible for deciding whether you are fit and able to take part in any activity. You should take account of your health, fitness level, weather, terrain, traffic, location, local rules, and personal circumstances. If you are unsure, seek advice from a qualified medical or fitness professional before taking part.

You take part in activities at your own risk. You are responsible for completing any run, walk, cycle, swim, or other activity safely, legally, and within your own ability. Children or vulnerable participants should be supervised by a parent, guardian, or responsible adult where appropriate.

ACE Races virtual challenges do not require you to complete a fixed official event route unless a product page or challenge rule clearly says otherwise. You can normally complete the activity in your own way, at your own pace, and in a safe location of your choice.

6. Accounts, sign-in, and participant details

Some features require account access or passwordless sign-in using a one-time passcode. You are responsible for keeping your email account, device, and session secure.

You must provide accurate information when placing orders, signing in, assigning participant slots, entering participant names, logging activity, requesting certificates, or contacting support.

The buyer is not always the participant. Adults may buy entries for themselves, children, family members, friends, groups, charities, or workplaces. Where participant names are used for certificates, rewards, app records, or support, you are responsible for entering and checking those details carefully.

7. Purchases, prices, and payment

Products and services are sold through our Shopify store and may include virtual race entries, digital challenges, physical medals, T-shirts, merchandise, subscriptions where offered, or other products.

Prices are shown on the relevant product page or checkout. Prices, offers, discounts, availability, product descriptions, and delivery options may change from time to time.

We try to keep product information accurate, but mistakes can happen. If we discover an error in price, availability, description, or fulfilment information after you order, we may contact you to agree a correction, cancel the affected item, or provide a refund where appropriate.

Payment is handled by Shopify and payment providers. You must not use payment details unless you are authorised to use them.

8. Virtual races, challenges, and completion

Each race or challenge may have its own distance, timeframe, completion criteria, reward, product contents, and evidence requirements. These details are normally shown on the product page, app screen, email, or challenge instructions.

You are responsible for completing the activity and submitting any required progress or completion information by the relevant deadline where one applies.

We may decide whether submitted evidence or app progress is sufficient for completion, reward, certificate, medal, badge, or fulfilment purposes. We may reject or query entries that appear false, incomplete, unsafe, duplicated, manipulated, outside the rules, or inconsistent with the challenge.

Unless a product page says otherwise, medals, digital badges, certificates, and other rewards are recognition for eligible completion and participation. The entry fee is for the race, challenge, product, or service described at purchase, not simply for buying a medal.

9. Manual activity entry and connected services

The app may allow manual activity entries and optional imports from services such as Strava or Apple Health. Connected services are optional and may require separate permissions, accounts, and third-party terms.

You are responsible for ensuring activity entries are accurate and belong to the correct participant or challenge. We may remove, adjust, reject, or query entries where we reasonably believe they are inaccurate, duplicated, imported in error, or outside the relevant challenge rules.

Third-party services may change, become unavailable, impose limits, or fail to connect. We are not responsible for the availability, accuracy, or operation of third-party activity services, but we will try to support reasonable customer issues where we can.

10. Digital badges, certificates, and sharing

ACE Races may provide digital badges, certificates, downloadable assets, app screenshots, or shareable content. These are for personal, non-commercial use unless we agree otherwise.

You are responsible for checking participant names and certificate details before sharing or printing. If you notice a mistake, contact us and we will decide what can reasonably be corrected.

If you use sharing features or post ACE Races content publicly, you are responsible for the information you choose to share.

11. Physical products, shipping, and fulfilment

Physical products may include medals, race packs, T-shirts, apparel, and merchandise. Delivery times may vary by product, campaign, supplier, delivery method, and address.

Race packs and medals are normally shipped according to the timeframes shown in the race or challenge description. Merchandise is normally shipped within the timeframe shown on the product page or shipping policy.

You are responsible for providing accurate delivery details. We are not responsible for delays or failed delivery caused by incorrect or incomplete information you provide.

Product images are for illustration. Colours, packaging, sizing, materials, and final appearance may vary slightly from images shown, subject to your consumer rights.

12. Cancellations, refunds, returns, and exchanges

Your cancellation, refund, return, and exchange rights are explained in our refund policy and any product-specific terms shown at the time of purchase.

Physical merchandise should normally be returned unused, in the same condition received, and in original packaging where required by the refund policy. Some sale items, personalised items, digital services, used items, or completed services may have different cancellation or refund treatment where allowed by law.

For virtual races, digital challenges, app-led services, or digital content, cancellation rights may depend on whether the service or digital content has started, whether access has been provided, whether the challenge has been used, and what the product page or checkout explained.

Nothing in these terms limits your statutory consumer rights.

13. Subscriptions and recurring products

If ACE Races offers subscriptions or recurring products, the product page and checkout should explain the price, renewal period, cancellation process, and what is included.

You are responsible for managing subscription details and cancelling before renewal where required. Subscription-specific cancellation terms may also appear in our cancellation policy, checkout, or subscription management area.

14. App availability, updates, and platforms

The ACE Races app may be provided through mobile app stores, TestFlight, Google Play testing tracks, Expo/EAS updates, web app access, or other platforms.

We may update, change, improve, suspend, remove, or replace app features from time to time. Some features may require internet access, a compatible device, app permissions, app updates, or third-party platform availability.

We do not guarantee that the app, website, store, or integrations will always be available, uninterrupted, error-free, or compatible with every device or platform.

15. Intellectual property

ACE Races names, logos, designs, copy, challenge concepts, app screens, badges, certificates, images, routes, content, software, and brand assets belong to ACE Races or our licensors unless stated otherwise.

You may use ACE Races content for your personal participation and sharing of your own achievements, but you must not copy, sell, reproduce, distribute, modify, or exploit it commercially without our permission.

16. User content and evidence

If you submit activity evidence, photos, messages, reviews, support content, social content, participant details, or other material, you confirm you have the right to provide it and that it is accurate, lawful, and appropriate.

You allow us to use submitted content where reasonably needed to provide the service, verify completion, provide support, prevent misuse, administer challenges, or comply with legal obligations.

We will not use private activity data, private ACE Score, or private app progress in public marketing without your consent, unless the information has already been made public by you or is used in an anonymised or aggregated way.

17. Privacy

We handle personal data in line with our Privacy Policy. The Privacy Policy explains what data we collect, why we use it, how we share it, and your rights.

18. Third-party services

ACE Races may use or link to third-party services, including Shopify, payment providers, Strava, Apple Health, app stores, Expo/EAS, analytics tools, email providers, delivery partners, social platforms, and support tools.

Those third parties may have their own terms and privacy policies. We are not responsible for third-party services, websites, policies, outages, decisions, or data practices except where the law says otherwise.

19. Our responsibility to you

We are responsible for losses you suffer where the law says we are responsible, including where we fail to use reasonable care and skill or breach your statutory consumer rights.

We are not responsible for losses that are not foreseeable, losses caused by your misuse of ACE Races, losses caused by inaccurate information you provide, losses caused by third-party services outside our control, or business losses if you use ACE Races for commercial purposes without our agreement.

Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or your statutory consumer rights.

20. Events outside our control

We are not responsible for delay or failure caused by events outside our reasonable control. This may include supplier delays, postal or courier issues, platform outages, app store delays, payment provider issues, internet failure, severe weather, public health issues, legal or regulatory changes, strikes, or other events we could not reasonably prevent.

If this affects your order or service, we will try to contact you and reduce the impact where reasonable.

21. Changes to these terms

We may update these Terms of Service from time to time to reflect changes to ACE Races, the app, store, products, laws, platforms, or customer journeys.

The version shown on this page applies from the Last updated date above. If a material change affects an active service, we will take reasonable steps to tell you where appropriate.

22. Governing law

These terms are governed by the laws of England and Wales. If you are a consumer, you may also have rights under the laws of the part of the UK or country where you live.
